1. To access the Project/Activity Create Wizard, navigate to the Projects/Activities list screen by selecting the Projects/Activities option from the Workload Management (formerly Project Management) menu on the left.
- Select the 'Create Project/Activity' button option at the top of the screen.
2. Navigating the Project Overview Tab
- Note that the Is this DME field toggle will only display if 'Project' is selected for Activity Type.
- Fill out all required fields of information.
- Note that the Project Manager value defaults to the logged in user, however this value can be updated as needed.
- EPID and CAC fields have been added to the Project Overview. These fields automatically pull values associated with the user selected as the Project Manager. The CAC field values will be filtered based on the selected EPID value.
For instances in which a CAC value without an associated EPID should be entered, select the 'No EPID' value from the EPID field first, and then select the desired CAC.
- Select 'Next' to continue.
3. Navigating the Portfolio Alignment Tab
- Select the Cost Center-Component to which the Project/Activity should align. Note that this may be different than the Cost Center-Component which may be funding the Project/Activity.
Note that the Related Investment field will automatically populate, based on the selected Cost Center-Component.
Also note that only Cost Center-Components that are active in the Current Fiscal Year and/or Future Fiscal Years available in FEDPASS will populate this dropdown.
- The Lead Organization field defaults to the logged in user's assigned organization, however this value can be updated as needed.
- The Budget Item(s) dropdown is a filtered list of Budget Items associated with the selected Cost Center-Component in the current or future Fiscal Years. Select one or more Budget Items, if desired.
- Select 'Next' to continue.
4. Navigating the Funding Source Tab
- By default, the Funding Cost Center-Component field value is pre-populated with the Project/Activity's Portfolio Alignment. If this Project/Activity is to be funded by a different Cost Center-Component, select the Cost Center-Component to which helps to fund the Project/Activity.
Note that following Project/Activity creation, additional Cost Center-Components and Contracts can be added to support the funding of the new Project/Activity.
- If the Project is supported by one or more contracts, slide the toggle for 'Is this Projected Supported By a Contract' field to 'Yes'.
- If the toggle above is set to 'Yes', the Contracts field is required and is a filtered list of Contracts associated with the selected Cost Center-Component. Select one or more Contracts from the list provided or select the 'TBD' option at the bottom of the list.
- Select 'Next' to continue.
5. Navigating the Schedule Tab
- Select the Projected Start and Projected Completion Dates for the new Project/Activity.
- Note that if the Project/Activity has an Activity Type of 'Operation', these dates default to the beginning and end of the fiscal year, however this value can be updated as needed.
- As of March 2025, Applicable Periods will be assigned to the Project/Activity based on the Fiscal Years encompassed by the Projected Start and Completion Dates.
- Select 'Next' to continue.
6. Navigating the Priority Tab
- If the Project/Activity is associated with the IT Roadmap, slide the toggle for this field to 'Yes'.
- If the Project/Activity is a CIO Priority, slide the toggle for this field to 'Yes'.
Notes:
The OCIO Focus Area field will only display for Projects/Activities assigned to OCIO with an Activity Type of 'Project.'
Priority and Goals fields ONLY display for Projects associated with the IT Roadmap. If this field is toggled to No, they will not display.
- For OCIO driven Projects, elect the OCIO Focus Area to which the Project/Activity should be aligned.
- Select the Priority to which the Project/Activity should be aligned (if the IT Roadmap toggle is set to yes, this field is required).
- The Goals field is a filtered list of Goals based on the selected Priority. Select one or more Goals, if known.
- Select 'Next' to continue.
7. Navigating the Additional Data Tab
- The Additional Data tab allows the user to customize the tabs of information to display on the new Project/Activity.
- On this tab, user can select to either display or hide the Risks/Issues Log and Quad Chart tabs on the Project/Activity.*
- Select 'Next' to continue.
*These options can be updated if PM elects to view or hide them at a later date.
8. Review and Save
- Once the Review Tab has been reached, user can toggle back and forth to any tab for data review as needed.
- Select 'Save' when done.
